3 Ways to Improve Communication Around the Workplace

nancyrubinDecember 7, 2022December 7, 2022

No matter what type of business you are in, communication is essential. Information that never reaches the people who need it is worthless, no matter how much time and money you’ve spent to develop it. That’s why these three tips for improving communication in the workplace can be so beneficial to your business.

Use Upgraded Technology

In today’s world, if you’re not moving forward, you’re moving backward. New systems can give you better communications performance for your team. As an example, an ip phone system eliminates the need for a second wiring system in the building, makes expansion easier, and cuts down on cord clutter around workstations. Accounts payable will also like seeing one less bill to pay every month.

You can also identify a preferred email app for workers who need access to their email on their cell phones so that you can properly manage junk email, listservs, and cybersecurity.

Work with Shared Files

If your team isn’t using some form of document sharing, you are missing a great way to improve communication. Instead of constantly bouncing attachments from one inbox to another, document-sharing systems allow multiple employees to view and edit a document simultaneously. It dramatically improves coordination, reduces redundancy, saves time, and fosters teamwork.

The same thinking applies to file storage. Offsite storage is great in many ways, especially with personnel working remotely. However, as we move more and more back into the workplace, the priority shifts back to having local backups. Invest in local server space to keep everything working smoothly even if your online storage goes out.

Put Video Conferencing in Its Place

After the pandemic, everyone is pretty much over Zoom. However, before you scrap it altogether in favor of doing everything in person again, revisit its benefits. Video conferencing allows you to bring in people with pertinent information or experts with specialized data that will help you make important decisions. Those specialists can easily provide their parts from anywhere in the world and then quietly exit the meeting when they are finished.

Keeping a reasonable amount of video conferencing in the mix will provide benefits to your communication without pushing everyone back into “Zoom fatigue”. Use it where you need it, and leave it out when face-to-face is the better option for optimum communication.

In conclusion, improving communication in the workplace is essential for any business. Utilizing new technology and systems such as an IP phone system, document-sharing software and video conferencing can greatly improve your team’s ability to effectively collaborate. By doing so, you will ensure that important information is appropriately shared amongst your team members and ultimately lead to better results. With these tips, you can easily improve communication in the workplace and set your business up for success.
